Job Identification
The Financial & Control Support role is responsible for financial tracking of projects, cost and invoice control, and supporting purchase order (PO) execution.
Key responsibilities:
- Track invoices, ensure compliance, and identify potential delays.
- Monitor trends in costs, invoices, and POs, and recommend corrective actions.
- Oversee and execute PO and invoicing processes; initiate procedures when absent.
- Track actual expenditures via SAP and update project cost files.
- Support equipment management in temporary storage until required on projects.
Scope: Global / Multisite
Reporting: Reports to the Project & Portfolio Control Lead, contributing to consistent and high-quality project controls across the Large Capital Projects Delivery portfolio.
Responsibilities
- Liaise with Procurement to place POs and provide guidance when requested.
- Collaborate with Finance to create WBS aligned with project structure.
- Ensure invoicing workflows are followed and invoices comply with contracts.
- Verify accuracy of invoices versus POs.
- Prepare and communicate weekly PO status updates.
- Compare planned vs actual spending, generate, and communicate monthly KPIs.
- Maintain and track PO and invoice records.
- Update forecast POs and invoices to reflect cash-flow impacts.
- Create templates and ad-hoc reports as required.
- Assist project management in organizing and tracking equipment in temporary storage.
- Prepare and communicate monthly project status updates.
- Fluent in French and English.
Requirements
Education Level:
- Minimum: Bachelor’s Degree
- Preferred: Master’s in Chemistry, Biology, Engineering, or Pharmaceutical field
Experience:
- Minimum 5 years in financial and administrative support
- Proven SAP experience for PO creation and data extraction
- Experience in Cost Control and invoice tracking
Competencies
- Basic knowledge of project management
- Experience in finance and accounting management
- Strong cost control knowledge
- Advanced proficiency in Excel and MS Office
