Our client is a leading organization seeking a dedicated professional to act as a strategic partner to senior management. The role focuses on optimizing operational efficiency through proactive administrative support, stakeholder management, and project coordination. The successful candidate will ensure quality and accuracy while managing complex priorities in a dynamic environment.

Responsibilities

  • Manage complex calendars, scheduling appointments and ensuring optimal time management for senior leadership.
  • Coordinate intricate international travel plans, including itineraries, agendas, and associated documentation.
  • Serve as a primary gatekeeper, managing correspondence and facilitating smooth communication with internal and external stakeholders.
  • Research and prioritize incoming issues, determining the appropriate course of action for sensitive or confidential matters.
  • Prepare high-impact PowerPoint presentations and maintain organized document systems using SharePoint and Microsoft Teams
  • Monitor departmental budgets, manage purchase orders, and process expense reports through MobileXpense
  • Document key meetings by taking detailed minutes and ensuring the follow-up of all action items.

Requirements

  • You have 5+ years of experience as an Executive Assistant or in a similar high-level administrative role.
  • You bring proficiency in office productivity tools, specifically PowerPoint, Excel, and Word.
  • You possess experience with digital collaboration platforms including Microsoft Teams, OneDrive, and SharePoint.
  • You have a background in financial administration tasks such as budget monitoring and using tools like MobileXpense
  • You're proactive, resilient, and demonstrate the ability to handle confidential information with high levels of discretion.
  • You are fluent in English
